# Workflows ## Registration → Verification → Onboarding **Applicable users:** any new user. **Preconditions:** none. 1. Complete the **Register** form (`/register`): account type, then profile details, then the emailed 6-digit code. 2. On success, the account is created and the session begins; a first-time workspace is routed into **Onboarding** (organization name, academic role) until setup is complete. 3. An Institution-type account additionally completes **Institution Setup**. 4. Land on the **Dashboard**. **Business rules:** invited signups skip the account-type step (always Individual); every protected screen redirects back to Onboarding until it is completed. ## Invite → Acceptance **Applicable users:** Owner/Admin (inviter), any new or existing user (invitee). **Preconditions:** an existing project. 1. Owner or Admin opens **Manage Collaborators** on a project and invites by email with a role (Admin only invitable by Owner; Member/Guest invitable by Owner or Admin — see [Roles and Permissions](roles)). 2. Invitee receives an email; if they don't yet have an account, they register; if they do, they log in. 3. Invitee opens **Accept Invite**; if already logged in under a different email than the invite targeted, they see **Invite Mismatch** guidance instead. 4. On acceptance, the invitee is added to the project with the assigned role and appears in the project's collaborator list. They land directly on the joined project, which from then on appears in their **Projects** list alongside the projects they own, marked with a members icon and selectable via the **Show → Shared projects** filter. Other members receive a "New member joined" notification. ## Project Creation → Research Setup → Conference Submission **Applicable users:** Owner, Admin. **Preconditions:** none. 1. From **Projects**, select **Create Project**; complete the info step and (optionally) the Invite Collaborators step; select **Create Project**. 2. On the new project's Overview tab, work through the **research setup journey**: **Define Research Question** (opens the PICO Intro/Builder, **Save & Continue**), then **Study Design** (Intro → Selection from the catalog), then, optionally, link a **Conference**. 3. Each step shows a **Review** action once complete; **Edit** is available only to Owner/Admin. ## Task Management (My Tasks) **Applicable users:** all project roles except Guest for creation actions. **Preconditions:** at least one project with the user as a member. 1. Open **My Tasks** directly — which asks you to choose a project first, since it shows one project at a time — or via a project's **Tasks** button, which skips the chooser. The Dashboard's My Tasks panel and its stat cards open every project at once instead. 2. Switch between the four views with the tab strip: **List**, **Board** (Kanban, one column per section), **Timeline** (a Gantt-style schedule), and **Calendar**. The tabs can be dragged into a different order, and the page opens on whichever one is first. 3. Create/move/assign tasks and sections (Owner, Admin, Member); a Guest can view every view but cannot create or update tasks or sections. ## Availability Scheduling **Applicable users:** any project member. **Preconditions:** project membership. 1. Open the project's **Availability** tab. 2. Set weekly time slots; select **Save changes**. **Business rules:** availability intentionally re-syncs to your browser's current timezone on load rather than persisting a saved timezone — a deliberate design choice. ## Billing Plan Change **Applicable users:** Owner. **Preconditions:** an active or trialing subscription. 1. From **Billing** or the trial-ending banner's **Choose a plan** link, open the plan comparison. 2. Select **Get Started** or **Upgrade Plan** on a plan card. 3. Confirm the change; your plan updates once payment is confirmed. ## Institution Setup → Ownership Transfer **Applicable users:** Institution owner. **Preconditions:** an Institution-type account. 1. Complete **Institution Setup** (institution profile, initial workspace). 2. Manage the institution via **Institution Profile** and **Institution Change Plan** settings. 3. To hand off ownership, use **Transfer Ownership** — select a new owner from existing members and confirm.
